1. What we collect
We collect the information your school enters or imports, including: • Student and guardian profiles • Attendance and academic records • Fee and payment histories • Staff and administrative records Because our platform processes data for minors, we rely on the educational institution to obtain the necessary parental consent for data collection.
2. How we use it
Data is used solely to operate the AIKDEMY modules your school has enabled. This includes generating staff reports, processing billing, and sending automated notifications (such as absence or fee-due alerts) to registered parents.
3. Who can access it
Access is strictly role-based. Front-office staff, teachers, and administrators see only the records relevant to their specific permissions. Parents can only view their own child's records. Aiksol staff will only access your data to provide technical support, and only with your school's explicit permission.
4. Data storage and security
Your data is stored in encrypted, access-controlled databases hosted securely on AWS (Amazon Web Services) with regular automated backups. We do not—and will never—sell student, staff, or parent data to third parties for advertising or marketing.
5. Third-party sub-processors
While we never sell your data, we do securely share specific data points with essential operational partners to run the platform. This includes communication gateways (like the Meta API for WhatsApp or local SMS providers) for automated alerts, and secure payment processors for fee collection.
6. Data retention and export
Your school's data remains your property and is available for export at any time in standard formats. If your institution ends its subscription, data is retained for a brief transition period to allow for export, after which it is permanently deleted upon request.
